Administrative Sales Coordinator

Full-time, Permanent

Location: Ontario Plants Propagation Limited (St. Thomas, Ontario)

Reports to: Head of Commercial Operations

The Administrative Sales Coordinator plays an important role connecting Sales, Production, Seed Inventory, and Customers by helping ensure information flows accurately, customers stay informed, and operations remain organized and responsive. This role is ideal for someone who enjoys coordination, communication, and working across teams in a fast-paced environment where no two days look the same.

About the Role

You will support daily commercial and sales operations through coordination, reporting, customer communication, and administrative support. Working closely with the Head of Commercial Operations, Production, and internal teams, you will help maintain accuracy, organization, and responsiveness across the customer lifecycle.

This role provides exposure to greenhouse operations, customer account coordination, inventory processes, and commercial decision-making within a growing agricultural business.

What You’ll Do

Support Sales & Customer Coordination

  • Support sales order and quote accuracy during rollover and order review processes
  • Assist with customer communication, updates, and follow-ups
  • Help coordinate customer requests, reporting, and post-delivery communication
  • Support collection and organization of customer feedback and survey responses

 

Coordinate Inventory & Production Information

  • Enter and maintain seed inventory records upon arrival
  • Support coordination between Sales, Production, and Planning teams
  • Assist with seed allocation tracking and work order coordination
  • Help organize inventory movement between facilities when required

 

Reporting & Commercial Support

  • Prepare and distribute weekly customer reports and updates
  • Support collection of transplant, crop, and production-related information
  • Assist in compiling customer-facing reports, photos, and operational updates
  • Help prepare monthly reporting summaries for commercial leadership

 

Support Process Improvement

  • Work closely with internal teams to improve coordination and communication
  • Identify opportunities to improve organization, reporting, and administrative efficiency
  • Support implementation of new tools, systems, and processes as the business grows

What You Bring

  • Previous experience in administration, sales coordination, customer service, or operations support is preferred
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and follow through consistently
  • Strong communication and interpersonal skills
  • Comfortable working in a fast-paced and evolving environment
  • Proficiency with Microsoft Office and data entry systems
  • Experience with ERP, CRM, or Agriware systems is considered an asset
  • A proactive mindset and willingness to learn and support different areas of the business
